Code of Conduct for the Connect & Thrive Womenโ€™s Conference

At the Connect & Thrive Womenโ€™s Conference, we are committed to creating a positive, inclusive, and respectful environment for all participants. By participating in our eventโ€”whether as a speaker, volunteer, sponsor, or attendeeโ€”you agree to uphold the following Code of Conduct:


General Principles

Respect and Inclusivity: Treat all participants with dignity and respect. Celebrate diversity in all forms, including race, gender, age, sexual orientation, and ability. Ensure everyone feels welcome and valued. Reasonable accommodations will be made for participants with disabilities upon request.

Professionalism: Maintain a courteous and professional demeanor in all interactions, both in person and online.

No Discrimination or Harassment: Harassment, discrimination, hate speech, or any form of inappropriate behavior will not be tolerated. This includes verbal or physical abuse, unwanted advances, offensive remarks, or any discriminatory language based on race, gender, sexual orientation, religion, or ability.

Conflict Resolution: Report any issues to event organizers immediately. We are committed to addressing concerns promptly and effectively, with confidentiality ensured. Participants who report violations will not face retaliation.

Environmental Responsibility: Embrace sustainability practices by minimizing waste and being mindful of the environment during the event.

Emergency Procedures: Familiarize yourself with emergency procedures, including evacuation plans and emergency contact information.

Alcohol and Substance Policy:
At the Connect & Thrive Womenโ€™s Conference, attendees and speakers under 21 years of age are welcome to participate; however, they are strictly prohibited from consuming alcohol. To ensure compliance with the legal drinking age of 21, valid identification will be required for all individuals wishing to consume alcohol at the event. This policy is in place to maintain a professional and respectful atmosphere while adhering to legal guidelines. We encourage all participants to familiarize themselves with these regulations to ensure a safe and enjoyable experience for everyone.

No drugs or illegal substances will be allowed at the event. Any violation of this policy will result in immediate removal from the conference and further action as deemed appropriate by the organizers.

Consumption of alcohol is permitted only in designated areas and during specific events. The use of illegal substances is strictly prohibited.

Dress Code: Attire should be professional and appropriate for a conference setting.

Technology Use: Participants are expected to use electronic devices responsibly during all presentations and sessions. Disruptive behavior, such as loud notifications, excessive device use during discussions, or unauthorized recording, is not permitted. Devices should be set to silent or vibrate mode to minimize distractions.

Any apps or platforms used in connection with the conference are at the participantsโ€™ discretion. However, participants are responsible for ensuring that their use of such technology complies with all applicable laws and regulations, including but not limited to privacy and data protection laws. Unauthorized recording or sharing of presentations, discussions, or personal information may violate intellectual property rights and privacy regulations.

Participants should respect the rights of speakers and other attendees regarding privacy and confidentiality. Failure to adhere to these guidelines may result in removal from the event and further actions as deemed appropriate by the organizers.

Health and Safety Protocols: Adhere to any health guidelines provided by event organizers, including illness prevention measures.

Photography and Videography Policies: Capture photos and videos only in designated areas and with the consent of individuals being photographed or filmed. Respect privacy at all times.


Social Media and Online Behavior

Responsible Social Media Use: When sharing event-related content on social media, ensure your comments and posts promote a positive and respectful environment. Participants should not share proprietary information, confidential content, or any remarks that could be considered discriminatory or offensive.


Conflict of Interest

Conflict of Interest: Participants should not use the event for personal gain without prior approval from event organizers. This includes promoting unrelated services or products during the conference.


Accessibility and Accommodations

Accessibility: The event organizers will make every effort to ensure accessibility for all attendees, including providing reasonable accommodations such as physical access, sign language interpreters, or other necessary assistance.


Legal Considerations

By agreeing to this Code of Conduct, all participants acknowledge and agree to the following legal terms:

Liability Waiver: Participants agree to indemnify and hold harmless The Ladyโ€™z Lounge, its organizers, volunteers, and staff from any claims, damages, losses, or liabilities arising from their participation in the conference, including personal injury or property damage.

Compliance with Laws: All participants are responsible for complying with applicable federal, state, and local laws related to their participation.

Intellectual Property: Participants affirm that they hold the necessary rights to all materials and content they present and grant The Ladyโ€™z Lounge a non-exclusive, royalty-free license to use any promotional materials.

Confidentiality and Non-Disclosure: Participants agree to maintain the confidentiality of any proprietary or confidential information shared during the event. In addition, participants agree to a Non-Disclosure Agreement (NDA) for any confidential sessions or proprietary information, ensuring that no unauthorized information is shared outside the conference.

Photo and Media Release: By attending the Connect & Thrive Womenโ€™s Conference, participants consent to being photographed, filmed, or recorded for promotional purposes. The Lady’z Lounge reserves the right to use such media in promotional materials, publications, and other media formats without further consent or compensation.

Participants acknowledge that this media may be used in various contexts, including but not limited to social media, websites, print materials, and advertisements. If participants do not wish to be photographed or recorded, they should inform the event organizers in advance.

By attending the conference, participants release The Lady’z Lounge, its affiliates, and its representatives from any claims or liabilities related to the use of their image or likeness, including any claims for invasion of privacy or defamation. This release is binding upon participants and their heirs, legal representatives, and assigns.

For any concerns regarding the use of media, participants are encouraged to contact the event organizers prior to the conference.

Data Privacy: Participantsโ€™ personal information will be used solely for event-related purposes and will not be shared with third parties without consent. The event organizers comply with applicable data protection regulations, including Californiaโ€™s CCPA.

Jurisdiction and Venue: This Code of Conduct shall be governed by the laws of the State of California. Any disputes arising from this agreement shall be resolved in the courts located in Los Angeles, California.

Waiver of Class Action Rights: By agreeing to this Code of Conduct, participants waive their right to participate in any class or collective action related to their participation in the event. All legal claims must be pursued individually.

Refund Policy

There will be no refunds for tickets purchased for the Connect & Thrive Womenโ€™s Conference. However, in accordance with California Business and Professions Code Section 22507, refunds will be provided if the event is canceled, postponed, or rescheduled. If required by law, participants will be eligible for a full refund of the ticket price in these cases. Please note that any terms or conditions stating otherwise will not apply if they conflict with California law.

Force Majeure: Neither party shall be held liable for failure to perform obligations due to events beyond their control, including natural disasters, pandemics, strikes, government regulations, or other unforeseen circumstances (“Force Majeure Events”).

Recording and Monitoring: Participants consent to the event being recorded or monitored for quality and security purposes.

Dispute Resolution: Any disputes arising under this Code of Conduct will be resolved through mediation or arbitration, as determined by the event organizers.

Modifications to the Code: The organizers reserve the right to modify this Code of Conduct, and participants will be notified of any changes.

Severability: If any provision of this Code of Conduct is found to be unenforceable, the remaining provisions will continue to apply.

Consequences of Violations: Violations of this Code of Conduct may result in removal from the event and further actions as deemed appropriate by the event organizers.


Consequences of Violations and Anti-Retaliation

Reporting Process: Any violations of this Code of Conduct should be reported to a designated contact (email or hotline provided by organizers) for confidential review. The event organizers will investigate and take appropriate action, which may include mediation, warnings, or expulsion from the event.

Anti-Retaliation: Participants who report violations of the Code of Conduct in good faith are protected from retaliation.


Acceptance of Terms

By participating in the Connect & Thrive Womenโ€™s Conference, whether as a speaker, volunteer, sponsor, or attendee, all participants accept and agree to the terms outlined in this Code of Conduct.

By adhering to this Code of Conduct, you help create a welcoming and inspiring environment for everyone involved. Thank you for your commitment to making the Connect & Thrive Womenโ€™s Conference a successful and enjoyable experience for all.

Travel and Hotel Accommodations Policy

Participants in the Connect & Thrive Womenโ€™s Conference are responsible for their own travel arrangements and costs. All travel and hotel accommodations must be approved by The Lady’z Lounge before any reimbursement can be made.

1. Hotel Arrangements
The Lady’z Lounge will provide a list of recommended hotels and negotiate group rates when possible. Accommodation preferences will be based on availability and budget constraints.

2. Travel Costs
All travel expenses, including airfare, transportation, and meals, are the sole responsibility of each participant. The Lady’z Lounge does not cover these costs unless explicitly stated in the event materials.

3. Approval Process
Participants must submit their travel and hotel arrangements for approval prior to making any bookings. Reimbursements will only be processed for approved expenses.

4. Changes and Cancellations
Participants are advised to review hotel cancellation policies before making reservations. The Lady’z Lounge is not liable for any cancellation fees or changes in travel plans.

5. Liability Waiver
By attending the conference, participants acknowledge that The Lady’z Lounge is not responsible for any personal injury, loss, or damage incurred during travel to and from the event or during the event itself.
